Campbells is the data controller for the personal information we use. This means we are responsible for deciding how and why your personal information is collected and used.

What personal information we collect
The personal information we collect depends on your relationship with us and the services you ask us to provide. This may include your name, address, previous address, email address, telephone number, mobile number, date of birth and contact preferences.
We may also collect information about a property you own, sell, buy, view or enquire about. Where required, we may collect identification documents, proof of address, anti money laundering information, source of funds information and other information needed to complete legal or regulatory checks.
Depending on the service being provided, we may collect financial information, payment information and records relating to valuations, viewings, offers, negotiations, instructions, agreements, sales progression, complaints and other property matters.
We may also keep records of emails, telephone calls, messages, instructions, meetings, viewings and other communications with you. In some cases, we may receive information about you from third parties, such as solicitors, conveyancers, buyers, sellers, mortgage advisers, surveyors, credit reference agencies, contractors and professional advisers.

How we use your personal information
We use your personal information so that we can provide estate agency, property marketing, sales progression and related services. This includes responding to enquiries, arranging valuations, arranging viewings, marketing properties, managing offers, progressing sales, preparing documents and dealing with property matters.
As part of providing these services, Campbells associates may contact you by telephone, text message, WhatsApp or email about your enquiry, valuation, viewing, property, offer, sale, purchase or related matter. This may include contact from a work telephone number or, where appropriate, an associate’s own personal telephone number. Any communication of this kind is still treated as communication from Campbells and your personal information should only be used for appropriate business purposes.
We may also use your information to carry out identity checks, anti money laundering checks, source of funds checks, fraud prevention checks and any other checks we are legally required or reasonably expected to complete.
We use personal information to manage instructions, agreements, invoices, payments, contractor arrangements where relevant, complaints and general communication with you. We may also use it to keep accurate records, train our team, improve our service, protect our legal position and meet our legal, regulatory, accounting and business obligations.
Where we are legally allowed to do so, we may also use your information to contact you about Campbells services that may be relevant to you.
Our lawful basis for using your personal information
We only use your personal information where we have a lawful reason to do so. In many cases, we use your information because it is needed to provide a service you have requested, to take steps before entering into a contract or to perform a contract with you.

Where we rely on your consent, such as for certain marketing communications or optional services, you can withdraw that consent at any time. Withdrawing consent will not affect the lawfulness of anything we have already done before consent was withdrawn.
Who we share your personal information with
We treat your personal information with care and confidentiality. We do not sell your personal information, and we only share it where there is a proper reason to do so.
In order to provide our estate agency services, we may need to share relevant information with people involved in your property matter. This may include solicitors, conveyancers, buyers, sellers, mortgage advisers, surveyors, contractors, credit reference agencies, professional advisers, software providers, IT providers, regulators or other organisations where the law allows or requires us to do so.
We only share the information that is needed for the relevant purpose.
Marketing communications
We may contact you about Campbells services where we are legally permitted to do so. This may be because you have asked us for information, because you are an existing client or contact, because you have given consent or because we are otherwise allowed to contact you under applicable marketing rules.
You can opt out of marketing communications at any time by using the unsubscribe link in our emails or by contacting daventry@campbell-online.co.uk.
Service messages about an enquiry, instruction, sale, purchase, property matter or contract are not marketing messages.
How long we keep your personal information
We only keep personal information for as long as necessary. In most cases, we keep client, property, contract, transaction and financial records for up to six years after the end of the relationship, transaction or matter.
Some records may be kept for a shorter or longer period where required by law, regulation, tax, accounting rules, anti money laundering requirements, legal claims, complaints or legitimate business needs.
When personal information is no longer needed, we will delete it securely or anonymise it where appropriate.
How we protect your personal information
We take appropriate steps to protect personal information from loss, misuse, unauthorised access, alteration or disclosure. This includes secure systems, access controls, staff training, confidentiality requirements, password protection and the use of trusted service providers.
Only people who need access to your personal information for a legitimate business reason will be given access to it.
Your rights
Under UK data protection law, you have rights in relation to your personal information. You may have the right to ask for a copy of the personal information we hold about you, ask us to correct inaccurate or incomplete information, ask us to delete your information in certain circumstances, ask us to restrict or object to how we use your information, withdraw consent where we rely on consent, object to direct marketing and complain to the Information Commissioner’s Office.
These rights do not always apply in every situation. For example, we may need to keep certain information to comply with the law, perform a contract, deal with a complaint or protect our legal position.
Subject Access Requests
You can ask for a copy of the personal information we hold about you. This is known as a Subject Access Request.
We will usually respond within one month of receiving your request. We may need to verify your identity before responding.

Personal data breaches
If a personal data breach occurs, we will assess the risk and take appropriate action. Where required, we will report the breach to the Information Commissioner’s Office. If the breach is likely to result in a high risk to affected individuals, we will also notify those individuals.

We may update this Data Privacy Notice from time to time to reflect changes in the law, our services, our systems or the way we use personal information.
